Gravity Forms Beyond Contact Forms: Workflows, Payments and Integrations

Approval workflows, payments, CRM integrations and secure intake: how AlphaWeb turns Gravity Forms into real business tools on WordPress.

Gravity Forms Beyond Contact Forms: Workflows, Payments and Integrations

Almost every WordPress site has a form. The difference between a contact form and a real business tool is what happens after someone clicks submit. Gravity Forms is one of the specialties we use on nearly every build (see our WordPress form plugin comparison), because it turns WordPress forms into approval workflows, payment flows, intake systems and integrations with the tools your team already uses.

Why Gravity Forms

Gravity Forms is a commercial WordPress form plugin with a long track record and a large add on ecosystem. It handles conditional logic, multi page forms, file uploads, calculations and saved progress without custom code, and its developer hooks are well documented when a project needs to go further. Entries are stored in WordPress, so the data stays with you instead of in a third party form service.

Planning the workflow, not just the fields

We start every form project by asking where the information goes next. A short list of questions shapes the build:

  • Who needs to be notified, and does that depend on the answers?
  • Does anyone need to approve or review a submission?
  • Should the entry create something in WordPress, such as a post, a user account or an order?
  • Which outside systems need the data, such as a CRM, email platform or help desk?
  • What information is sensitive, and how long should it be kept?

Common builds we deliver

Over many WordPress projects, a few patterns come up again and again:

  • Quote and project request forms with conditional sections and routed notifications
  • Event registration with payments, capacity limits and confirmation emails
  • Grant, scholarship and application intake with document uploads and review stages
  • Employee and vendor onboarding forms that create user accounts automatically
  • Public records and service request forms for counties and municipalities
  • User submitted content that lands in WordPress as a draft for editor review

Approvals and multi step processes

For processes that need more than one person, we build staged workflows where a submission moves from intake to review to approval, with each step notifying the right people and recording who did what. That replaces email chains and spreadsheets with a clear, auditable record inside WordPress.

Payments and WooCommerce

Gravity Forms supports major payment gateways for donations, fees and simple purchases. When a project already runs WooCommerce, we can connect forms to products so a custom configured order flows into the normal store and fulfillment process.

Integrations

Gravity Forms add ons and webhooks connect entries to CRMs, email marketing platforms and project tools. For anything without an off the shelf add on, we write custom integrations against the destination's API using the plugin's hooks, with logging so failures are visible instead of silent.

Forms in mobile apps

Forms often need to work in a mobile app too. With AppPresser, the mobile app platform Brian owns, WordPress forms can be displayed inside a native iOS and Android app, so the same Gravity Forms workflow serves web and mobile users. There are more than 1,000 apps built on the AppPresser platform.

Security and sensitive data

Forms are the most common way sensitive data enters a website. We limit what is collected, turn on spam protection, restrict who can view entries and set retention rules so old entries are removed on schedule. For healthcare clients, forms that collect protected health information run on our HIPAA compliant WordPress hosting with a Business Associate Agreement available on request. Every form we build is also usable with a keyboard and screen reader, because inclusive design comes standard on our website builds.

Testing before launch

A broken form costs leads and erodes trust. We test every path through the conditional logic, every notification and every integration on staging, then submit test entries on production after launch to confirm that email delivery and connected systems work end to end.

Frequently asked questions

Do you build custom Gravity Forms add ons?

Yes. When an integration does not exist, we build it with the plugin's documented hooks.

Can forms create posts or user accounts?

Yes. Entries can create WordPress content, users and orders automatically.

Can Gravity Forms handle sensitive data?

With the right hosting and configuration, yes. We limit collection, restrict access and set retention rules.

Have a process that still runs on email and spreadsheets? Let us turn it into a workflow on WordPress.
