School districts run some of the most complex websites in any community. There is a district site, a site for every school, calendars, athletics, board documents, staff directories, emergency alerts and a constant stream of news. Many districts host all of that on proprietary school platforms such as Schoolwires or Finalsite. Those platforms work, but they come with recurring license fees, limited customization and, in some cases, no practical way to export your own content.
We know this problem well. For Newark Public Schools, one of New Jersey's oldest and largest districts, about 80 school websites sat on Schoolwires with no way to export the district's content. Here is how districts can make the move.
Rescue the content first
When a platform offers no export, the published website itself becomes the source. For Newark we built a custom script that rebuilt each school site from its live pages, keeping menus, page hierarchy and the original URLs. The same approach works for other closed platforms:
- Crawl every school and district site, capturing pages, menus and structure
- Download documents, PDFs and images and rehost them in WordPress
- Convert page content into clean Gutenberg blocks
- Record every URL so it can be preserved or redirected
- Review and clean up outdated content during the process
If your current platform does offer exports or an API, we use those first and fill gaps with crawling.
One district, one network
WordPress Multisite is a natural fit for districts. The district site and every school site live on one network with one codebase, one design system and one set of security updates. Each school has its own editors who can only touch their own site. Shared features, like district news or emergency alerts, appear on every school site automatically. Our Multisite guide covers the setup.
Calendars that work for everyone
Calendars are often the most used feature on a school site. For Newark we built a district calendar that pushes events to every school, while each school keeps its own calendar filterable by category. Families see what matters to their child without checking several sites.
Documents, board meetings and policies
School sites carry thousands of documents. We organize them into a searchable library with categories, keep file URLs stable where possible and redirect the rest. Board agendas and policies often come from dedicated systems, which we link or integrate rather than duplicate.
Add a mobile app
Once content lives in WordPress, a district app becomes realistic. Newark's site powers an AppPresser app on iOS and Android with push alerts for events and safety notices. See our post on push notifications from WordPress.
Hosting and support
District sites need reliable, secure hosting with staging, backups and a partner who answers during the first week of school. AlphaWeb still hosts Newark Public Schools today. Our security and hosting services describe what is included.
Budget benefits
Moving to WordPress removes per site platform license fees. Districts can redirect that budget toward features, training and content. We are careful not to promise specific savings because every contract differs, but owning your platform means the money you spend builds something you keep.
Inclusive by design
School sites serve families with a wide range of needs. Clean templates, proper headings, captioned media and readable documents help everyone and support the accessibility obligations public schools have.
Athletics, lunch menus and the long tail
Every school community has favorite pages that never appear in a project plan: athletic schedules, lunch menus, bell schedules, supply lists, club pages and PTA news. During discovery we ask principals and secretaries what families ask them about most, then make sure those pages are easy to find and easy to update. Many of them become simple custom post types or shared blocks so schools can update them in seconds. Getting the long tail right is what makes families and staff trust the new site from the first week of school.
District migration checklist
- Inventory every school site, page, document and URL
- Export or crawl content and rehost all files
- One Multisite network with per school editors
- District to school calendar syndication
- Document library with stable URLs and redirects
- Optional mobile app with push alerts
- Managed hosting and editor training before launch
Frequently asked questions
Can we migrate over the summer?
Yes, that is the most common timing. We build on staging during spring and switch over before the school year starts.
Will schools keep their own look?
Each school can have its own colors, logo and featured content within the district design system.
Do teachers need training?
We provide short role based training and written guides so school editors are comfortable on day one.
